1. Background
Genius Hub is a mission-driven organisation dedicated to human capital development, including youth empowerment, entrepreneurship, vocational education, gender equity, and technology access. With a growing portfolio of programs, partnerships, and strategic engagements, efficient operational management is critical to ensure sustainability, quality delivery, and compliance with internal and donor standards.
To support this growth and ensure strong operational systems, we seek an experienced and dynamic Operations Manager to oversee and optimise our internal operations, logistics, compliance, procurement, and cross-functional processes.
2. Purpose of the Position
The Operations Manager will be responsible for ensuring the smooth and efficient operation of the organisation’s day-to-day activities. This role involves planning, coordinating, and supervising various support services such as procurement, logistics, office administration, human resource processes, and operational compliance.
The role requires a highly organised and proactive individual with experience in systems development, compliance (donor and regulatory), vendor management, and team leadership.
3. Scope of Work
The Operations Manager will be responsible for the following:
3.1. Operational Strategy and Management
Develop and implement efficient operational systems, processes, and best practices aligned with organisational strategy.
Oversee day-to-day administrative and operational functions, including logistics, procurement, and inventory control.
Support the senior management in decision-making through data-driven reporting and risk assessments.
3.2. Procurement and Logistics
Ensure procurement processes are compliant with internal policies and donor regulations.
Oversee vendor selection, contract negotiation, and vendor performance management.
Coordinate logistics for program delivery, training, travel, and field operations.
3.3. Financial and Compliance Support
Collaborate with the finance team to align operational budgets and expenditures with organisational priorities.
Monitor compliance with local laws, donor requirements, and organisational policies.
Conduct regular internal audits and support external audits by maintaining proper documentation and systems.
3.4. Human Resources and Administration
Support recruitment, onboarding, and performance management of operational staff.
Develop and implement policies related to travel, safety, leave, and office resource use.
Ensure appropriate records management and information security for operational data.
3.5. Risk Management and Contingency Planning
Identify and mitigate operational risks through proactive planning and controls.
Develop business continuity and contingency plans to ensure program resilience.
4. Expected Deliverables
Quarterly and annual operational performance reports.
Updated and implemented procurement and logistics policy manual.
Operational dashboard to track key performance indicators (KPIs).
Streamlined workflow systems for interdepartmental coordination.
Risk management and compliance reports with recommendations.
Staff capacity development plans for the operations team.
5. Reporting Line and Collaboration
Reports directly to the [CIO].
Works closely with Program Managers, Finance & Admin Team, HR, Procurement Officers, and external vendors.
6. Duration and Working Conditions
Full-time position with a one-year contract, renewable based on performance.
Standard work hours apply with flexibility for travel to program sites and meetings.
May be required to work on weekends or evenings based on operational demands.
7. Required Qualifications and Experience
Education:
Bachelor’s degree in Business Administration, Operations Management, Logistics, or related field (Master’s degree is an advantage).
Experience:
Minimum 5 years of progressive experience in operations management or administration, preferably in an NGO, development agency, or private sector organisation with complex operations.
Demonstrated experience in procurement, logistics, compliance, and organisational systems development.
Experience working with donor-funded programs (e.g., USAID, EU, GIZ, DFID) is a strong asset.
Skills and Competencies:
Strong organisational and analytical skills.
Excellent written and verbal communication.
Proficiency in MS Office Suite, ERP systems, Google Workspace, and operations software.
Leadership, teamwork, and the ability to manage cross-functional teams.
High ethical standards and integrity.
8. Remuneration
Remuneration will be competitive and commensurate with experience and qualifications, in line with Genius Hub’s salary scale and HR policy.
