Position Overview

We are seeking a highly organized, detail-oriented, and proactive Executive Assistant with a minimum of five years of proven experience supporting senior executives. This role requires exceptional administrative skills, discretion in handling confidential information, and the ability to anticipate needs in a fast-paced, dynamic environment. The ideal candidate will serve as a trusted partner to the executive leadership team, ensuring seamless day-to-day operations.


Key Responsibilities

  • Manage complex executive calendars, including scheduling meetings, appointments, travel, and events.
  • Coordinate domestic and international travel arrangements, prepare detailed itineraries, and process expense reports.
  • Serve as the primary point of contact between executives and internal/external stakeholders, ensuring professional communication at all times.
  • Prepare, proofread, and edit correspondence, presentations, and reports.
  • Organize and maintain electronic and physical filing systems for efficient document retrieval.
  • Assist in preparing for meetings, including compiling agendas, briefing materials, and follow-up actions.
  • Monitor and prioritize emails, calls, and requests to optimize executive time.
  • Handle confidential and sensitive information with discretion and integrity.
  • Support strategic projects and initiatives as needed, ensuring deadlines and deliverables are met.


Qualifications

  • Minimum 5 years of experience as an Executive Assistant or in a comparable high-level administrative role.
  • Exceptional organizational, time-management, and multitasking skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with productivity tools (e.g., Google Workspace, project management software).
  • Proven ability to work independently and collaboratively in a fast-paced environment.
  • High level of discretion, professionalism, and problem-solving skills.


Preferred Skills

  • Experience working in corporate, professional services, or C-suite environments.
  • Familiarity with project coordination and event planning.
  • Ability to adapt quickly to changing priorities and demands.
