About the Role
We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support a busy entrepreneur and product manager managing multiple ventures across technology, real estate, and e-commerce. This role goes far beyond traditional admin — you’ll be a right-hand partner ensuring that tasks, priorities, and communications are always under control.
Key Responsibilities
- Administrative Management
- Manage inbox and calendar; filter priorities and draft professional responses.
- Coordinate meetings, prepare agendas, and ensure follow-ups are captured.
- Maintain digital filing systems and organize documents across platforms.
- Task & Workflow Support
- Update and track progress in project management tools (Asana, Trello, Notion).
- Anticipate needs and proactively handle recurring tasks without waiting for instruction.
- Follow up with vendors, partners, or internal teams to ensure deadlines are met.
- Research & Reporting
- Conduct vendor, market, and product research; summarize findings for fast decisions.
- Prepare briefs, reports, and spreadsheets to present data clearly and concisely.
- Assist in light financial tracking and expense management.
Qualifications
- Bachelor’s degree preferred; or equivalent relevant experience.
- 1–3 years of professional experience in executive assistance, operations, or project coordination.
- Tech-savvy : Comfortable with Google Workspace, Notion, Slack, Excel/Sheets, and AI productivity tools.
- Excellent communication skills (verbal and written).
- Highly organized, detail-oriented, and able to manage multiple priorities at once.
- Proactive self-starter who can operate independently and problem-solve on the fly.
Success Metrics
- Inbox, calendar, and admin tasks are streamlined and require minimal input.
- All active projects remain on schedule with no loose ends. 10–15+ hours of the executive’s weekly time freed for strategic work.
