Job Summary
The Administrative Manager is responsible for overseeing all administrative duties of the school; this includes supervision of some administrative staff; ensuring the school premises runs smoothly; and building a rapport with current and prospective parents.
The Administrative Manager will provide leadership and direction that represents a consistent and effective model of integrity, excellence, collaboration and accountability in line with the vision and mission of the school.
RELATIONSHIPS
The Administrative Manager will report directly to the Head of Administration, however, in the absence of the HOA, he/she will report to the HOS/DHOS who will also provide strategic leadership and day to day oversight of the Administrative Manager.
The Administrative Manager is responsible for direct supervision and day to day oversight of the kitchen staff and any other Administrative staff assigned. In the absence of the HOA, the Administrative Manager is responsible for direct supervision and day to day oversight of their direct reports.
Primary Responsibilities:
Leading and Managing staff
- Establish performance goals and objectives for administrative staff
- Explain or answer procedural questions
- Liaise with HR to identify, recruit and train administrative staff
- Liaise with HR and the Coordinators to organise the logistics for all staff training
- Meet weekly with administrative staff to assign tasks for the week
- Participate in planning the school calendar in collaboration with the management team
- Ensure effective communication of the school calendar to all staff
- In collaboration with HR, coordinate time off for all administrative staff to ensure smooth running of the school in the absence of a staff member
- Monitor policies and procedures, e.g., code of conduct
- Liaise with HR to ensure all staff appraisals are conducted and filed appropriately
- Accomplish staff results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counselling, and disciplining employees; initiating, coordinating, and enforcing systems, policies, and procedures
Parents and community relations
- Maintain administrative records for all enrollees
- Communicate and enforce school policies and procedures with parents
- Review all communication for quality assurance prior to sharing with parents and the community
- Respond to all queries from parents; whether phone call, text message, email, or verbal, preferably on the same day but no later than 24 hours after the query was received
- Prepare requested documentation for foreign students, for e.g., visa request letters etc
- File all incidental reports associated with a child and ensure documented notification to the parent/designated adult
- Communicate medical notifications to parents in a timely manner, for example, health notices in the event of a medical crisis
- Enforce Sick Child policy
- Foster a nurturing environment where attention to detail is key
Quality control
- Liaise with the Facility Manager to ensure all facility management issues are resolved, including but not limited to the regular fumigating of the school
- Meet regularly with the school nurse to confirm children’s records are up to date
- Spot check the school premises, i.e., classrooms, hallways, bathrooms, etc., to ensure cleanliness and proper set up
General
- Review all procurement requests from Admin Department prior to submission to the Head of School for approval
- Maintain professional and technical knowledge by attending educational workshops; benchmarking professional standards; reviewing professional publications; establishing personal networks
- Ensure all administrative record keeping is well organised and current
Minimum Eligibility Requirements
- Bachelor’s degree in Computer Science, Information Technology, or a related field.
- The Administrative Manager needs to be a leader and needs to be organised and committed to the job.
- Educational Qualification: Bachelor’s Degree from a reputable institution or any Related Discipline. MSc or MBA or professional certificates in Human Resource Management, Business Administration or any Related Discipline will be an added advantage.
- Professional Qualifications: ICSAN, CMD, CIPM, CIPD, SHRM or any related professional qualification would be an added advantage
- Experience: Minimum 7 years relevant experience, with at least 3 years in a managerial position.
Location
Abuja, FCT
Salary & Benefits: Salary range approximately between N500,000 - N570,000 monthly gross salary (point on scale determined by skills, knowledge and experience). Benefits include Pension, HMO, Staff bus, and Performance Related Bonus.
