Executive Assistant wanted urgently

Job Summary:

We are seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to senior executives. The ideal candidate will be detail-oriented, resourceful, and capable of handling a wide range of executive-level tasks while maintaining discretion and professionalism.

Key Responsibilities:

• Manage the executive’s calendar, including scheduling meetings, appointments, travel, and conference calls.
• Prepare, edit, and format correspondence, reports, presentations, and other documents.
• Handle confidential information with a high level of integrity and discretion.
• Attend meetings, take minutes, and follow up on action items as required.
• Coordinate travel arrangements (flights, hotels, visas, itineraries).
• Screen and direct phone calls, emails, and inquiries to appropriate departments or individuals.
• Liaise with internal staff, clients, vendors, and external partners on behalf of the executive.
• Organize and maintain filing systems, both physical and digital.
• Track expenses and assist with budget monitoring and reporting.
• Assist in project coordination and execution as directed by the executive.

Requirements:Education & Experience:

• Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
• Minimum of 3–5 years of experience in a similar executive support role.
• Previous experience supporting C-suite executives is highly desirable.

Skills & Competencies:

• Excellent written and verbal communication skills.
• Strong organizational and time-management abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to work independently and handle multiple priorities.
• High level of professionalism and confidentiality.
• Strong problem-solving and decision-making skills.

Preferred Qualities:

• Familiarity with office management tools (e.g., Google Workspace, Trello, Zoom).
• Ability to anticipate needs and proactively offer solutions.
• Flexibility to work outside of regular hours when required.
