Job Summary
We are seeking a proactive, highly organized, and intelligent Entry-Level Administrative Officer to support and understudy the Chief Operating Officer (COO) of our dynamic interior design firm. The ideal candidate will learn directly under the COO, gradually taking on some of their responsibilities in operations, administration, vendor coordination, and client service. This is a unique opportunity for a driven individual to grow into a leadership role within a creative and fast-paced environment.
Key Responsibilities
- Assist the COO in day-to-day administrative and operational tasks
- Help coordinate project timelines, deliverables, and client communications
- Prepare meeting agendas, take minutes, and follow up on action items
- Liaise with vendors, contractors, and suppliers to ensure timely delivery and compliance
- Support recruitment, onboarding, and general HR functions as directed
- Monitor and maintain office supplies and ensure smooth office operations
- Conduct basic research and prepare reports or presentations for strategic planning
- Track budgets, invoices, and assist with basic finance and procurement tasks
- Represent the COO in internal and external meetings as required
- Undertake any other administrative tasks as assigned by the COO
Qualifications & Skills
- Bachelor’s degree in Business Administration, Management, or related field
- 2-3 years of relevant experience.
- Strong organisational and multitasking abilities
- Excellent verbal and written communication skills
- High level of professionalism and discretion
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Interest in design, architecture, or project management is a plus
- Ability to learn quickly and adapt to new challenges
