Group Executive Assistant

Responsibilities:

• Coordinate and prioritize the Group's schedule, handling meetings, appointments, and preparing and editing reports, presentations, and correspondence.
• Manage communications, screening calls and emails, and maintain organized filing systems for efficient access to key documents.
• Handle all incoming and outgoing communications (phone, email, correspondence)
• Maintain and organize office files, records, and documentation
• Prepare letters, reports, presentations, and other official documents
• Welcome visitors and clients in a professional manner and attend to their inquiries
• Provide administrative support to operations, sales, marketing and finance teams as needed
• Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
• Prepare and disseminate correspondence, memos and forms
• File and update contact information of employees, customers, suppliers and external partners
• Act as the primary liaison between the Group and key stakeholders, both internally and externally, while managing confidential information with discretion.
• Draft and edit communications for the Group review, ensuring clarity and professionalism.
• Support the Group with special projects by tracking progress, following up with stakeholders, and ensuring deadlines are met.
• Serve as the central contact for all project-related communications and documentation.
• Plan and organize both domestic and international travel arrangements, ensuring seamless logistics that align with the Group’s schedule.
• Coordinate executive events, conferences, and industry engagements, ensuring the Group is fully prepared.
• Ensure the efficient operation of the Group’s office by managing supplies, coordinating with other departments, and maintaining a professional environment.

Requirements:

• Minimum of 5 years of experience in an executive assistant or executive secretarial role.
• Bachelor’s degree in business administration, Office Management, or related field.
• Strong organizational skills with the ability to multitask and prioritize tasks in a high-pressure environment.
• Excellent verbal and written communication skills, with the ability to interact professionally with all levels of the organization.
• High level of discretion and confidentiality in handling sensitive information.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office tools.
• Polished, professional demeanour with a strong sense of responsibility and integrity.

Job Type: Full-time

Pay: ₦840,000.00 - ₦1,020,000.00 per year

Ability to commute/relocate:

• Lagos: Reliably commute or planning to relocate before starting work (Preferred)

Education:

• Undergraduate (Preferred)
