Job Summary

The Front Desk & Admin Assistant plays a vital support role in ensuring smooth communication, client service, and back-office operations. As the first point of contact for clients and a key assistant to the Admin Manager, this role ensures that enquiries, appointments, documentation and reporting are handled with precision and professionalism.

Job Description/Requirements

Responsibilities:

  • Respond to calls, WhatsApp, and messages professionally and promptly
  • Manage appointment bookings, confirmations, and follow-ups
  • Handle walk-ins and guide clients through service check-in and check-out
  • Follow up with clients who missed appointments or haven’t visited recently
  • Maintain organized records of employee data, income, expenses, and other administrative documents.
  • Maintain digital and physical documentation for internal and client use
  • Upload payment receipts, inventory usage, and daily logs to Drive
  • Take accurate meeting minutes and circulate summaries as needed
  • Maintain updated logs for staff attendance, absences, and shift coverage
  • Monitor stock levels and assist with the procurement of office and service supplies, coordinating with vendors to ensure timely restocking
  • Submit daily and weekly reports to the Admin Manager
  • Notify the Admin Manager of client feedback or stock gaps
  • Assist with printing, labeling, scanning, and maintenance of the office filing system
  • Support during campaigns, pop-ups, or special salon events
  • Clients receive prompt, clear communication and feel warmly attended to
  • Daily admin tasks and documentation are complete, organized, and submitted on time
  • Supplies and inventory are well-stocked, properly tracked, and replenished without delays
  • Internal reports and information flow smoothly between teams
  • The front desk area is professional, clean, and always guest-ready


Requirements:

  • Minimum of 1 year of experience is required
  • BSc. Degree in a relevant course of study
