  • We are seeking a highly organized, empathetic and detail-oriented
  • Executive Assistant to provide administrative support to a licensed therapist in a dynamic mental healthcare setting.
  • This role plays a critical part in ensuring the smooth operation of the therapist’s schedule, client management, and office administration, allowing the therapist to focus on delivering exceptional patient care.

Key Responsibilities
Scheduling and Coordination:

  • Manage the therapist’s calendar, scheduling appointments, sessions, and meetings.
  • Coordinate with clients, team members, and external partners to ensure seamless scheduling.
  • Send reminders and confirmations to clients via phone, email, or text as the case may take.

Client Communication:

  • Serve as the primary point of contact for clients, answering inquiries about appointments, services, and general information.
  • Handle intake processes, including distributing and collecting forms and consent documents.
  • Provide clients with necessary paperwork and instructions before sessions.

Billing:

  • Prepare and submit billing information accurately and in a timely manner.
  • Follow up on unpaid claims and resolve billing issues.

Data Entry and Record Keeping:

  • Executive Assistant Job Description
  • Update electronic health records (EHR) systems with session details, client information, and other relevant data.
  • Ensure all records are accurate, complete, and compliant with mental health regulations.

Therapist Support:

  • Prepare session materials, such as worksheets, assessments, or handouts.
  • Assist with case management, including tracking client progress and follow-up appointments.
  • Provide reminders for important tasks, deadlines, or events.

Confidentiality and Compliance:

  • Maintain strict confidentiality of client information and adhere to mental health policy and guidelines.

Requirements

  • Diploma or a bachelor’s degree in any course (a related field is preferred)
  • 2+ years of experience as an administrative assistant, preferably in a healthcare or mental health setting.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite, and other relevant software.
  • Ability to handle sensitive information with discretion and professionalism.

Preferred Qualifications:

  • Experience with mental health practices, terminology, and
  • documentation requirements.
  • Excellent communication / writing skills
  • Attention to details
  • The ability to multitask, prioritize, brainstorm and remain calm under
  • pressure is essential.

  • Salary: N70,000 - N100,000 Monthly.
