Job Summary
The Front Desk Officer will serve as the first point of contact for visitors, clients, and callers, ensuring a warm welcome and professional assistance at all times. This role involves managing the reception area, handling inquiries, directing guests, and providing administrative support to ensure smooth day-to-day operations.
Key Responsibilities
Reception & Guest Relations
- Greet and welcome visitors in a friendly and professional manner.
- Direct guests to the appropriate offices or meeting rooms.
- Maintain a tidy and presentable reception area.
Communication & Correspondence
- Answer, screen, and forward incoming phone calls.
- Respond to inquiries in person, via phone, and email.
- Handle and distribute incoming and outgoing mail and deliveries.
Administrative Support
- Maintain visitor logs and ensure security protocols are followed.
- Schedule and confirm appointments or meetings as needed.
- Assist with basic clerical duties such as photocopying, scanning, and filing.
- Maintain office supplies inventory and coordinate replenishment.
Coordination & Office Support
- Liaise with internal departments to facilitate communication.
- Support event or meeting preparations when required.
- Ensure compliance with company policies and procedures in front desk operations.
Qualifications & Skills
- Minimum of OND/HND/Bachelor’s degree in Business Administration or related field.
- 1–2 years of experience in a front desk, receptionist, or administrative role (preferred).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office Suite (Word, Excel, Outlook).
- Professional appearance and demeanor.
- Customer service-oriented with a positive attitude.
Work Environment
- Office-based role with frequent interaction with clients and visitors.
- May occasionally require extended hours during events or peak periods.
