Job Title: Executive Assistant to the Chief Operating Officer (COO)

Job Summary
We are seeking a highly efficient and proactive Executive Assistant to support the Chief Operating Officer (COO). This role is critical to ensuring the COO operates at maximum effectiveness and focus. The ideal candidate will provide a combination of high-level administrative support, strategic coordination, and project tracking across the company’s real estate, hospitality, and investment operations.
The Executive Assistant must be exceptionally organized, intelligent, and quick-thinking someone who communicates clearly, adapts easily to shifting priorities, and thrives in fast-paced, multi-site environments.
The role also requires strong discretion, sound judgment, and the ability to anticipate needs. The candidate must be available for occasional travel between Lagos, Abuja, and other company locations as needed. relevant locations.
Key Responsibilities
Executive Support
- Manage the COO’s calendar, schedule meetings, coordinate travel, and ensure timely follow-ups;
- Serve as the primary point of contact for internal and external stakeholders seeking the COO’s time or input;
- Organize and prepare materials for meetings, presentations, and executive briefings;
Strategic & Operational Coordination
- Track and follow up on key deliverables, decisions, and action points arising from the COO’s meetings;
- Assist in monitoring the implementation of strategic initiatives and operational plans across departments and locations;
- Support oversight of progress on projects, ensuring deadlines are met and issues escalated promptly;
Communication & Reporting
- Draft high-quality correspondence, reports, and internal memos on behalf of the COO;
- Coordinate interdepartmental communications and ensure effective information flow to and from the COO’s office;
- Liaise with department heads, regional teams, and project leads to gather updates and compile summaries;
Meeting & Documentation Management
- Plan and coordinate key operational meetings, including weekly reviews and admin/foundation check-ins;
- Prepare meeting agendas, take minutes, summarize outcomes, and track follow-up items;
- Maintain organized records and documentation relevant to the COO’s functions and priorities;
Stakeholder & Partner Engagement
- Support the COO in preparing for stakeholder meetings, regulatory briefings, and external engagements;
- Maintain and update stakeholder contact lists and engagement schedules;
Administrative Support
- Handle confidential materials and information with a high level of discretion;
- Coordinate logistics for site visits, internal meetings, and off-site engagements; and
- Maintain task trackers, filing systems, and performance dashboards for the COO’s office.
Qualifications & Requirements
- Bachelor’s Degree in Business Administration, Management, or a related field.
- 3–5 years of experience in a similar executive support or coordination role.
- Excellent verbal and written communication skills.
- Strong attention to detail and ability to multitask effectively.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
- High level of discretion, reliability, and professionalism.
- Willingness and ability to travel as needed (especially between Lagos and Abuja).
