Job Description/Requirements
An Interior Design firm is seeking a young, computer-savvy Administrative Assistant with a creative or technical background who enjoys working with others and making spaces beautiful.
Job Overview Minimum Qualification: HND or BSc in Architecture, Interior Design, Engineering or any related field of study
Experience Level: Entry Level
Experience Length: 1-3years Key Responsibilities
- Be the first point of contact with clients and vendors.
- Phone/email communications with clients, vendors, and sub-contractors as well as necessary follow up on correspondence(s)
- Schedule meetings (with MD/Principal Designers’ input)
- Prepare proposals, enter and track orders, track client’s budget, manage shipments and deliveries with designated warehouse as well as preparation of invoices. (with MD/Principal Designers’ input)
- Create installation and project timelines; organize and oversee installations along with Studio organizational tasks including creating file templates and work flow charts, etc
- Assist Interior Designer in any administrative capacity necessary. Including but not limited to the development of project timelines, studio organizational tasks, workflow charts, and others
- Assisting designers in managing projects from inception through installation (ideally ground up and renovation projects).
- Outreach and development with material vendors and artisans – establishing relationships, getting pricing, research, purchasing samples etc. Coordinate with the Accountant/bookkeeper.

Job Requirements
- Excellent written and verbal communication skills.
- Excellent time management, project organization, and follow-through skills.
- Candidate must be organized, flexible, detail-oriented, self-motivated, resourceful, able to frequently shift direction, and meet multiple deadlines in a fast-paced environment.
- Ability to prioritize on a daily/hourly basis.
- Strong attention to detail and deadline oriented. Proficiency in MS Excel/Word (rudimentary knowledge of design software will be an added advantage).
