We have been operating for only a few years, and we re growing fast. As we scale rapidly, we're looking for a Virtual Operations Assistant to help improve our operational efficiency and help us continue to deliver a five-star customer experience. This is a key support role with room to grow alongside our company.
Job Description
As our Virtual Operations Assistant, you’ll play a vital part in keeping our day-to-day operations, sales support, hiring pipeline, and customer touch points running smoothly.
Schedule: 9am CST-5PM CST Monday-Friday. Weekends Required.
Key Responsibilities
- General Operations: Assist with dispatch prep, and keeping internal systems organized
- Customer Service: Make pre-move confirmation calls, post-move check-in, answer inquiries, and assist with basic claims or feedback follow-ups
- Sales: Give quotes, book leads, update CRM records, and respond to customer messages when other reps are unavailable.
- Hiring & Onboarding: Screen candidates, assist with onboarding paperwork, and maintain hiring records
- Admin & Data Entry: Enter job details, update spreadsheets, respond to reviews, and write SOPs for tasks you're responsible for.
Qualifications
- Must have experience working in a sales and or customer service role.
- Strong communication skills. Especially by phone, chat, and video.
- Ability to multitask in a fast-paced, remote environment.
- Strong work ethic. Willing to work on weekends and at night.
- Self-motivation and a desire to take ownership of your work.
- Comfortable working remote with chat/phone/video.
- Strong organizational skills, with superb attention to detail and a strong ability to execute.
Requirements
- A reliable, up-to-date computer or laptop
- Stable internet connection (30mbps+ minimum)
- Backup power source (e.g. generator or battery)
- Fluent English speaker with clear phone presence
- Comfortable with CRMs, spreadsheets, and learning new tools
