Job Purpose:
The Store Keeper is responsible for the efficient receipt, storage, and distribution of medical and non-medical supplies within the hospital. The role ensures accurate inventory records, enforces proper storage standards, and maintains timely documentation of goods movement. The Store Keeper plays a critical role in ensuring that clinical and administrative departments have uninterrupted access to essential supplies and materials, in line with hospital policies and best practices in inventory management.
Key Responsibilities:1. Inventory Management
- Receive, inspect, and verify all incoming stock and deliveries against purchase orders and delivery notes.
- Maintain organized and systematic storage of items based on category, temperature sensitivity, and expiration dates.
- Ensure timely and accurate recording of stock issuance, transfers, and returns using manual registers and/or inventory management software.
- Monitor stock levels and initiate reordering requests when minimum stock levels are reached.
2. Stock Control & Documentation
- Update stock cards and digital inventory platforms (e.g., ERP or hospital inventory software) in real time.
- Conduct routine cycle counts, monthly stock counts, and support quarterly/annual stock audits.
- Ensure expired, obsolete, or damaged items are identified, quarantined, and reported to the appropriate department.
3. Distribution of Supplies
- Prepare and issue approved requisitions to hospital departments (wards, pharmacy, theatre, admin units, etc.) in a timely and organized manner.
- Maintain accurate records of departmental requisitions and usage to aid consumption analysis.
- Coordinate internal logistics and transport of supplies when required.
4. Store Cleanliness & Safety
- Maintain hygiene, security, and temperature control standards in all storage areas.
- Ensure proper labeling, segregation, and stacking of items to avoid contamination or damage.
- Implement FIFO (First-In, First-Out) and FEFO (First-Expire, First-Out) principles for consumables.
5. Compliance & Reporting
- Adhere strictly to hospital procurement policies, inventory SOPs, and regulatory standards (e.g., NAFDAC, FMH guidelines).
- Report irregularities, losses, discrepancies, and supplier quality issues promptly to the Head of Procurement.
- Generate daily, weekly, and monthly reports on stock levels, usage trends, and reorder needs.
Educational Qualifications:
- OND/HND/B.Sc. in Business Administration, Logistics, Supply Chain Management, or any related field.
- Certification in inventory management, storekeeping, or ERP systems (e.g., Sage, SAP, Microsoft Dynamics) is an advantage.
- Basic training in warehouse safety or materials handling is a plus.
Experience Requirements:
- 2–5 years of relevant experience in storekeeping, preferably in a hospital or healthcare supply environment.
- Experience working with medical consumables, pharmaceuticals, and equipment is highly desirable.
- Familiarity with health inventory systems and documentation practices.
Skills & Competencies:
- Strong organizational and record-keeping skills.
- Attention to detail and accuracy in stock control.
- Basic knowledge of hospital items (medical, laboratory, cleaning, stationery).
- Proficiency in Microsoft Excel and inventory tracking software.
- Physical fitness to lift and move goods when needed.
- Integrity, reliability, and sense of responsibility.
