Key Responsibilities:
Executive Support (40%):
- Provide comprehensive administrative and secretarial support, including complex calendar management, scheduling meetings, and coordinating travel arrangements (domestic and international).
- Prepare and edit correspondence, communications, presentations, and other documents for internal and external stakeholders.1
- Manage and prioritize incoming communications (emails, calls), drafting responses and delegating as appropriate.
- Organize and maintain confidential files and records, ensuring information is readily accessible and secure.
- Prepare agendas, take detailed minutes during meetings, and track action items to ensure timely completion.
- Act as a professional and welcoming point of contact for internal and external parties.
Operations Support & Coordination (60%):
- Assist in the planning, coordination, and execution of various operational projects and initiatives, ensuring deadlines are met and objectives achieved.
- Support the monitoring of operational metrics and performance indicators, assisting in data collection and preliminary analysis.
- Help streamline operational processes by identifying inefficiencies and suggesting improvements.
- Coordinate with various departments (e.g., finance, HR, sales) to ensure smooth cross-functional operational workflows.
- Manage and track operational budgets, expenses, and procurement processes as directed.
- Assist in the preparation of operational reports, summaries, and presentations for management review.
- Conduct research and compile information on industry best practices, market trends, and operational challenges.
- Support vendor management activities, including scheduling meetings, tracking contracts, and ensuring compliance.
- Help maintain operational documentation, policies, and procedures, ensuring they are up-to-date and accessible.
Qualifications:
- Bachelor's degree in Business Administration, Operations Management, or a related field preferred.
- Proven experience (3-5+ years) as an Executive Assistant supporting senior management, with a demonstrable track record of involvement in operational tasks or projects.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.3
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint) and Google Workspace.
- Excellent written and verbal communication skills, with keen attention to detail and grammar.
- Proactive, resourceful, and takes initiative with minimal supervision.
- Ability to handle confidential information with the utmost discretion and integrity.
- Strong problem-solving abilities and a process-oriented mindset.
- Experience with project management tools (e.g., Asana, Trello, Jira) is a plus.
- Familiarity with ERP systems, CRM, is an advantage.
