Job Summary:
As our Office Assistant & Front Desk Representative, you'll manage front desk operations, provide administrative support to staff, and help maintain an organized and efficient office environment. This position requires excellent communication skills, professionalism, and the ability to prioritize tasks effectively.
Job Responsibilities:
Reception Duties
- Greet and welcome visitors in a professional and friendly manner
- Direct visitors to appropriate staff members or meeting rooms
- Answer, screen, and forward incoming calls
- Manage incoming and outgoing mail and packages
- Maintain visitor log and issue visitor badges when required
- Monitor front desk security and follow visitor protocols
Administrative Support:
- Schedule and coordinate meetings and appointments
- Maintain office calendar and room reservations
- Order and track office supplies
- Manage office equipment and coordinate maintenance
- Process basic accounting tasks (expense reports, invoices)
- Prepare and distribute correspondence
- File and maintain paper and electronic documents
- Support staff with administrative projects as needed
Office Management:
- Keep reception and common areas tidy and professional
- Coordinate office maintenance and cleaning services
- Assist with office event planning and coordination
- Maintain office procedures and policies documentation
- Support basic IT troubleshooting
- Handle catering arrangements for meetings
Required Qualifications:
Qualifications
- Interpersonal Skills and Customer Service expertise
- Experience in Receptionist Duties
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with office equipment (printers, phone systems)
- Familiarity with Office Administration tasks
- Strong written and verbal communication skills
- Ability to multitask and work well under pressure
- Previous experience in a similar role is desirable
- Minimum of a BSC/HND in Administration or related field; additional qualifications are a plus
- Experience: 1-2 years of experience in a similar role
- Basic bookkeeping knowledge
