Job Summary:
We are seeking a highly organised and detail-oriented Admin and Bookkeeper who will be responsible for overseeing day-to-day administrative operations and maintaining accurate financial records to support management, finance, and operational teams across multiple subsidiaries. The ideal candidate is highly organised, proactive, discreet, and able to work in a multi-sector, fast-paced environment while upholding a strong sense of accountability.
Responsibilities:
- Supervise administrative functions, including office management, procurement, and facility maintenance.
- Implement and enforce administrative policies and procedures.
- Draft and manage correspondence, including letters, memos, internal communications, and filing systems (digital and hard copy).
- Monitor and replenish office supplies, liaise with vendors, and track administrative requisitions.
- Identify and mitigate financial and operational risks.
- Ensure all official documents are properly filed, safely stored, and promptly retrievable when needed.
- Ensure proper usage of company vehicles by all employees
- Record and reconcile transactions, including petty cash, expense claims, receipts, and other disbursements across the relevant subsidiaries.
- Maintain ledgers and reconciliation reports in alignment with internal controls and approved templates.
- Prepare monthly reports on expenditure trends, cash flow, and outstanding balances to inform management decisions.
- Ensure accurate and timely filing of all supporting financial documents, receipts, invoices, payment vouchers, etc.
- Support finance leads in audit preparations by compiling relevant documentation and ensuring consistency with financial records.
- Maintain expense tracking systems and escalate anomalies or discrepancies promptly for resolution.
Qualifications:
- OND, HND or B.Sc. in Accounting, Business Administration, Finance or a related field.
- Minimum of 2 years’ experience in an administrative and bookkeeping role.
- Proficiency in Microsoft Office Suite or Google Workspace (especially Excel) is required.
- Working knowledge of basic accounting or bookkeeping software (e.g. QuickBooks, Zoho Books, Wave) is an advantage.
- Experience working within a group structure, across multiple subsidiaries or departments, is preferred.
- Attention to detail and accuracy in both administrative and financial tasks.
- Strong organisational and time management skills with a solution-oriented mindset.
- High level of discretion and trustworthiness with sensitive or confidential information.
