Job Title: Personal Assistant to the MD/CEO
Reports to: Managing Director
Location: YellowDoor Hotels
Work Type: Full-time, On-site
Salary: 150,000 - 200,000 [Negotiable based on skills and experiences]
Job Purpose:
To provide high-level administrative, organizational, and personal support to the Managing Director. This role requires a proactive individual who can anticipate the CEO’s needs, manage time and priorities, keep track of ongoing tasks and deliverables, and coordinate daily activities efficiently.
Key Responsibilities:
1. Task & Schedule Management
- Maintain and update the MD’s calendar and daily schedule.
- Remind the MD of key meetings, deliverables, and daily to-dos.
- Help follow up on tasks assigned to other departments or individuals.
2. Communication & Coordination
- Manage internal and external communications on behalf of the MD as needed.
- Liaise with Heads of Departments to confirm deliverables, reports, or meetings.
- Serve as a point of contact between the MD and key stakeholders.
3. Executive Support
- Accompany the MD to meetings, take notes/minutes, and summarize action points.
- Organize personal and business errands, bookings, and reservations.
- Maintain discretion and confidentiality at all times.
4. Light Media Support (Non-Creative)
- Help with recording video/audio content — e.g., setting up a phone camera, pressing record, ensuring basic lighting/sound readiness.
- Store and archive content files securely.
Requirements:
- Proven experience in a Personal Assistant, Executive Assistant, or similar support role.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- High level of discretion and confidentiality.
- Tech-savvy – familiar with Google Workspace (Docs, Calendar, Drive), WhatsApp, and social media basics.
- Calm under pressure and solution-oriented.
- Physically present and flexible with work hours when required.
Bonus Skills (Not Mandatory):
- Experience working with senior executives or founders.
- Understanding of creative environments or hospitality.
- Basic understanding of camera angles, lighting, or mobile recording.
